Job Title:Secretary to Managing Director / ChairmanDepartment:Administration & CoordinationDetailed Work Profile:Serve as the primary point of contact for company clients, distributors, the senior sales team, vendors, and business associates on behalf of the Chairman/Managing Director.Act as a pivotal communication link between the Chairman and various internal departments, ensuring seamless information flow and timely updates.Proactively coordinate order manufacturing to dispatch and delivery to distributors as needed.Manage the calendars of the Managing Director/Chairman, coordinating all appointments and meetings with efficiency and discretion.Organize and facilitate Zoom meetings, in-person meetings, and presentations, showcasing exceptional organizational skills.Possess basic computer operating skills essential for tasks such as email management, document preparation, and presentation creation.Demonstrate strong communication skills, both written and verbal, in English.Exhibit flexibility in working hours, including the readiness to travel within and outside Mumbai as required.Utilize exceptional interpersonal skills to manage and follow up with senior management, ensuring task completion and updates.Efficiently draft, read, and manage emails, alongside managing the Chairman's itinerary with attention to detail.Show a strong desire to grow with the organization, taking ownership of tasks and displaying a proactive approach to learning and development.Be flexible to work from both office and home environments, adapting to the needs of the role with ease.Embrace a challenging position, taking initiative, working with ownership, and demonstrating patience in follow-up and achieving results.Be prepared to travel to different business locations in Gujarat, Maharashtra, and Madhya Pradesh as needed.Be open to performing tasks like fetching coffee, managing the Chairman’s personal purchases and subscriptions, and handling the petty cash account for his expenditures.
